Sound to Sea Reservations and Planning Timeline

How to Reserve a Sound to Sea Session for your School:
Trinity Center's Sound to Sea Enviromental Education Program operates from mid-August through mid-May (excluding weekends) and accommodates school groups of up to 96 students and adults (teachers and chaperons) in four dorms. Please call to inquire about rates. We charge by a per person rate which includes all meals, lodging, materials and instruction, typically for a three day program. A limited number of reservations exist for day programs, short one-night/two-day and extended three-night/four-day, or week-long programs.

Our rebooking policy is that schools attending the program during the current school year have the opportunity to rebook their same dates for the next year. New schools interested in reserving a session should call with a contact name, school and home phone numbers, preferred dates, group size and age. We normally do our booking in the spring of the current year for the next school year. If there are no available dates, the school will be put on a waiting list and will be called at the first cancellation. If you are unable to reserve a session at Sound to Sea, please don't give up. Planning Timeline:

6 months - 1 year School contacts Trinity Center to reserve date. School receives contract and sends it back to Trinity Center with deposit. If the school is coming for the first time, Sound to Sea sends a Sound to Sea Planning Guide.
5 months Teacher team begins planning program and fund-raising strategy. Schedule and hold meeting with parents and students. Distribute information to parents.
*120 days Begin collecting Student Registration and Medical Forms. Return the Update Form to Trinity Center with your Guaranteed Number of Reservations at the 120-day mark.
3 months Begin pre-session activities. Schedule and hold meeting with students and/or parents.
30 days Divide students into the various groups (Cabin, Table and Habitat Study Groups). Continue collecting money and forms and participating in pre-session activities. Check in with the Sound to Sea Program Coordinator to go over all trip specifics in depth.
7 days Review Cabin, Table and Habitat Study Groups with students. Go over vocabulary and concepts relating to the program. Review schedule, procedures, behavior contract and guidelines. Check all forms for signatures. It would be helpful if the School Personnel would xerox the Medical Form and Registration Forms front to back, and alphebetize them.
Departure Day Collect medications. Compare with Medication Schedule to check that students have brought needed medications (in original containers). Assign students to vehicles. Pack vehicles and have a safe trip here.
